Tipasa Interlibrary Loan Procedures

Receiving Articles

Article requests filled with electronic copies are in the AE Alert queue:

1. Click on a request in the AE Alert queue.

2. The request details page open. Click on the PREVIEW button to the right. 

3. A pdf viewer opens. Verify that all the pages are in the pdf and that the article is the correct one. (You can zoom in on the pdf viewer.) Close the pdf viewer when finished.

4. If the article is the correct one and none of the pages are missing, click the MARK AS RECEIVED button at the top of the request (click the Not Received button if the article is not correct):

The patron will get an email notification with instructions on how to access the article either by clicking on a link and entering the password, or by going to their Tipasa patron account. 

Note: Patrons who receive electronic articles have 30 days to download the article or are allowed 5 views of the article, whichever comes first. 

Note: Some libraries do not use Article Exchange, so no PDF will be in the request for you to preview. They instead might include a download link in the request's lending notes, or might send this link via email to our illoan@knox.edu email. In these cases, download the article, click on the request's OCLC Article Exchange hyperlink to upload the article, click drop file, then click Mark as Received.

What to Do If the Wrong Article was Sent via Article Exchange

If you look at the article preview in the AE Alert queue and notice that the article does not match the citation, is incomplete, or is of such poor quality it cannot be read, you must contact the lending library and request they send a corrected PDF of the article.

1. Scroll down to the Lending Information accordion and click on the blue i to open the polices directory. Retrieve the library's email address from the Contacts tab of the polices directory.

2. Compose an email the library with the following information:

  • Thank them for filling our request
  • Provide the request ID number and briefly explain the issue with the PDF they sent
  • Ask them to email a new PDF with the corrected article when they are able

3. In Tipasa, add a note to the request explaining you have asked the library to resend the article and are waiting on delivery.

4. Once received, download the article and name the file by the request ID. In Tipasa, open the request in the AE queue, upload the document it and click the Mark as Received button.

Note: If the library takes more than a day to respond, consider duplicating the request and sending it out to other lenders. This approach may be necessary during midterms and finals.
