Tipasa Interlibrary Loan Procedures

Receiving Loans

1. For Tipasa loans that come through the mail

  • Retrieve a blank mailing label
  • Note what service the item was shipped via and mark the same or similar mailing service on the label 
  • On the back of the mailing label, note how the item was packaged: box or bubble mailer
    • If it was shipped in a box, write "Box on shelf" on the back of the mailing label. Then, write the request ID on the box and put the box on the shelf above the paper cutter.
  • Skip this step for items received via the ILDS delivery.

2. Keep all paperwork included with the item. We have to return this paperwork to the supplying library.

  • If the request paperwork is wrapped around the front cover, leave it attached.

3. Fill out an ILL Condition Report.

4. On the Tipasa homepage, scan the request ID into the search box to open the request.

5. Verify that the request information matches the item and paperwork.

  • title (#1)
  • due date (#2)
  • supplier (#3)
  • No Renewals in the Lending Notes field (under #3)
  • If these do not match, give to supervisor and do not process any further

6. Check the Print Book Straps/Stickers box (#4) at the top of the request, and click Mark as received (#5).

  • Tipasa will take you back to the homepage and display a green banner confirming the request status was updated to Received. 
  • Transit slips from items shipped via ILDS can be recycled once them item is marked received.

 

7. In the left navigation, click on Print Queue. Under Borrowing, click Book Straps/Stickers.

 

8. Print book strap slips.

  • Check all requests that need to be printed
  • Change the Format to 6 per page
  • Click print
  • Trim this slip
  • If the item is fragile, includes multiple pieces, or cannot be renewed, note this somewhere on the book strap slip
  • Highlight patron's name, due date, the NOTES field, and any notes you added

 

9. Create a Check Out Slip.

  • Open the template, located at G:/Shared drives/Seymour Library/ILL/Tipasa/ Tipasa ILL Check Out Slip
  • Copy the information from Tipasa into this template
  • Add any necessary notes, e.g., "No Renewals"; "3 pieces = 2 DVDs + 1 Booklet. Please return all pieces."
  • Print to tray 1 of libtech-x which has the purple paper
  • Close the template without saving changes
  • Trim the Check Out Slip
  • Highlight the patron's last name, due date, and any notes.
  • Staple the request paperwork from step 2 to the Check Out slip in the top right corner.

10. Remove the request from the print queue in Tipasa.

  • Check the box next to the request.
  • Click Remove.

 

11. Create a bookwrap

  • Tape the book strap slip you printed to a blank Tipasa bookwrap. 
  • Tape the ILL Condition Report to the bottom of the bookwrap, fold the bookwrap above the note to circulation staff, hook over the front cover, fold over the bottom over the front cover, and tape
  • You can place this bookwrap over any bookwraps the lending library has attached
  • Use a media case for CDs. Use a preservation binder for pamphlets and fragile items. Attach the bookwrap in a way that will not greatly interfere with the patron's use of the item.

12. Place Check Out Slip in the middle of the book with the patron's name showing at the top, or rubber band it to the item. Rubber band multiple volumes/pieces together.

13. Shelve the item on the hold shelf.
