Tipasa Interlibrary Loan Procedures

Returning a Tipasa Loan to its Lending Library

To return an item:

  1. Retrieve the corresponding Check Out Slip for the item from the white box.
  2. Separate the green condition report slip from the TIpasa bookwrap.
  3. Inspect the item for damage and confirm it matches the condition in which we received it.
  4. Enter the request ID in the search bar on the Tipasa homepage to open the request
  5. Click Return item.
  6. A confirmation message appears and the request appears under the category Borrowing Requests > Returned.
  7. Separate any paperwork from the check out slip and put it in the book. Generally this paperwork will be return shipping labels and request paperwork that the lending library will want back.
  8. Put the bookwrap and the checkout slip in the shredding box.
  9. If the item is going to an Illinois library, open the request in Tipasa to find the three letter ILDS code for the library. It will be located in the Lending Information accordion. Use a white ILDS label, circle the code, and write the library name in the Final Destination field. Rubber band the label to the item.
  10. If the item is going out of state
  • Use the shipping label that was stapled to the Check Out Slip and write it on the label. The back of the label will say if the item needs to be returned in a box or mailer.
  • Search for the library's name or street address in the illoan email to see if we have previously sent packages to the library. If you find a previous shipment to the library, write the address from the tracking email on the shipping label. If you cannot find a previous shipment, just use the address provided from Tipasa. (This is a courtesy to the mailroom staff, as they have stated their shipping software has problems validating the addresses we use.)
  • We do not use return shipping labels provided by the lending library or printed by Tipasa. We use our own that we have created because they have our postage account number, for the mailroom to charge us, and our email address on them, for the mailroom to send tracking numbers to.
