Cataloging Processes

Adding Holdings in Alma

1. You will look up the Bib record in Alma by searching the Network Zone for the book my MMS ID. Click on the House icon in front of the title to switch to the Institution Zone. At the end of the record there will be an icon with 3 dots. Click on that and then click on "Add Holdings". 

2. This will open the Meta Data Editor (MDE) where you will edit the Holdings record and add an item record.

3. Click on "Add Inventory" and select the type of item you have (Book will work for most physical items).

4. Use [Ctrl][F] to expand each line. 

LDR edit space 18: "i - item information"

008 edit space 20: "a - will not lend"

852 space b: "SCA"

852 space c: "scagen" (Unless the item has a bookplate indicating it belongs in a different location.)

852 space k: "SpecCol" for items in "scagen" location.

852 space t: "1"

5. Save to populate Call number

6. Check the Call number in the LC classification list: https://www.loc.gov/catdir/cpso/lcco/ 

7. Check the Call number against our holdings in Primo.

 

 

Add Items

1. Click on the "Add Inventory" Menu 

2. Choose "Add Item"

3. Starting on the Right column

Copy ID: "1"

Item Policy: "Book Non-Circ"

Is magnetic: "No"

4. Go to the Left Column

Material Type: (choose the one that best describes the item, this might be book, issue, manuscript, loose-leaf, etc)

Receiving Date: (today's date, unless there is a date in the item's paperwork)

5. For multivolume items use Enumeration A for volume numbers and Enumeration B for Issue numbers. Just put in the number and use the "Generate" button to populate the description.

Place a barcode on the Flag for the book and scan it in the "Barcode" field. This should save the item. If not, click "Save."
