Reserves processing in Alma

Pick Items From Shelf

If you do not already have the items that are to be put on reserve and the items are located in the Knox libraries you will need to create a list of items to be picked up from the shelves.

Make sure you have the correct Alma library selected for the Reserves location you are in:

 

If you do not already have these items in hand:

1. Go to: Fulfillment > Resource Requests > Pick from Shelf.

2. In the left-hand column, under "Request/Process Type " click on “Move Temporarily." 

3. From the 'pick from shelf' screen, you can either print pull slips, or export the titles into a spreadsheet if you’re pulling multiple items at once.

4. Use the pull slips or the Excel sheet to help you locate items on the shelf and bring them to the circulation desk.

Once you have items to be placed on reserve in hand:  

1. Go to: Fulfillment > Resource Requests > Scan in Items

2. Scan the barcode. A message will pop up saying the item is now in a temporary location:

undefined 

If the item scanned is to go on Open Reserve, you need to find out what course it's for in order to place it on the Open Reserve shelves in the right place. After scanning in the item in Alma, search by the title choosing "Reading Lists" from the search option menu:

The results list will display the course that item is on Open Reserve for.

Put New Acquisitions on Reserve

Items that are new acquisitions--books and DVDs recently ordered--will be put at the Circulation Desk for Reserve processing. However, these items will already have the Reserve location as the temporary location in the item record; this happens in the acquisitions department at the time the item is ordered. 

New acquisitions will have a slip with the items with information about the course and instructor. These items are not yet on a reading list! Create the course and reading list if necessary and then proceed to place the items on reserve:

1. Make sure you have the correct Alma library selected for the Reserves location you are in:

 

2. Go to: Fulfillment > Resource Requests > Scan in Items

3. Click on the "Change Item Information" tab

4. Make the following changes on the Scan in Items screen (note: screen image below show example choices for a sample reserve item):

A - Location: Choose the proper Reserves location from the drop-down list

B - Reading List: Choose the proper reading list from the drop-down list.

C - Item Policy: Choose the appropriate Item Policy as designated on the reserve request form.
