Reserves processing in Alma

Instructor-owned Items, files, or Items not in the Repository

Go to: Fulfillment > Course Reserves > Reading Lists.

1. The Reading Lists Task List opens on the tab "Assigned to Me". If any reading lists are assigned to you they will show up here. Otherwise, to find a reading list, click on the "All" tab or the "Unassigned" tab.

2. Click the row actions button the right of a reading list and select "Work on". 

3. Click "Add Citation". There are three options for adding a citation: Add Brief, Add Repository Citation, and Add Non-Repository Citation. We do not use "Add Non-Repository Citation" at this time.

Add Brief Citation

This option is used for instructor-owned materials, photocopies (files), any equipment placed on reserve for a course, and other materials not found by searching the repository such as an ebook or electronic journal article, web site, etc.

1. Choose one of these options, depending on what type of material you have to go on Reserve:

  • Physical Book (use this instructor copies of books and DVDs; other bound physical items; keys and other types of objects)
  • Physical Article (use this for items that go in file folders)
  • Electronic Book (use only if item is not found in the repository)
  • Electronic Article (use only if item is not found in the repository)

2. The Quick Cataloging page appears. This page has 4 sections:

  • Placement of New Record -- *IMPORTANT* -- click the "Institution" button 
  • Resource Information -- fill in all the bibliographic information that is necessary and appropriate for the item 
  • Check the box next to Course Restricted.
  • UNCHECK the box for Suppress from Discovery.

  • Citation Parameters - Using the drop down menu, set the "Copyright Status" field to "Not Required."
  • Item Information --
    • Click the dropdown list and select the library and reserves location
    • Choose an Item Policy based on the loan period designated on the reserve form
    • Scan in the item's barcode and click the SAVE button. If you do not yet have a barcode on the item (or if the item is an electronic item and does not need a barcode), click the SAVE button to return to the reading list. 
    • Back on the Reading list, click the actions button next to the citation you just completed and select "Set Complete"

If You Need to Add the Barcode Later After Adding the Citation

If there is a brief citation on a Reading List but it has no barcode, you now need to add the barcode to the item (for example, if your item is an instructor-owned item):

1. Find the item on the Reading List, then click the ellipses to display the menu, then select "Items".

2. The items list appears (usually there will only be one item). Click the ellipses at the end of the row and select "Edit".

3. Add the barcode. Be sure the Item Policy is a reserve item policy and the Permanent Location is a reserve location.

4. Click SAVE when finished.
