Automated Fulfillment Network policies and procedures.

Processing I-Share Receives

I-Share Receives are the books Knox patrons have requested from other I-Share libraries.  
After the ILDS delivery arrives and the bags are opened and sorted, follow these procedures.

1. Inspect I-Share books. Complete a green ”ILL Condition Report” (using a pen).

• Mark I-Share.
• Use the AFN date stamp to stamp the current date on the slip and write your initials at the top.
• Look carefully at the cover, edges, and spine. Mark the slip accordingly.
• Look at the inside pages. Mark the slip accordingly.

NOTES:

  • Flip through the pages of the book twice - forwards and backwards.  
  • Pay special attention to any highlighting, pencil/pen underlining and notes, water damage, dog-eared pages, broken or loose spine, and/or loose pages.
  • For a description of book parts see diagram – “Parts of a Book”. 
  • Keep the paperwork inside the book. DO NOT remove the paper work until the item properly scans in.
  • DO NOT remove lending library bookwraps placed on loan items. 
  • If the owning library included a loose condition report with the book, secure it to the bookwrap you will make in step 5.

2. Place any items that appear to have been damaged in the delivery or fragile items on the supervisor’s desk or if the lending library condition report is different than the item appears.

3. Scan in items in Alma and print hold slips. Do between 10 -15 books at a time to keep the stacks small. Sign into Alma at the Seymour Library location, then go to Fulfillment > Resource Requests > Scan in items

  • Keep the books in the same order you scanned them in.
  • DO NOT remove the paper work until the item properly prints a hold slip. When a hold slip prints, recycle original I-Share slips/paperwork. If the paperwork contains patron information, discard it in the SHRED box.
  • If a transit slip is printed instead of a hold slip, place the item along with original paperwork and transit slip on supervisor’s desk.
  • Stack the books in order as you scan them in.

4. Trim the blank space off of the Hold Slip. Keep slips in order as they were scanned in. The order of the slips must correspond to the stack of books.

  • If the item is fragile, or contains multiple pieces, please note this on the Hold Slip and highlight the note.
  • Highlight Patron Last Name.
  • Place the Hold Slips on top of the pile of books face down. Set aside.  
  • Continue to scan stacks of 10-15 books until all I-Share Receives are scanned in.

5. Create bookwraps and attach bookwraps to item neatly and snuggly

  • Fold Hold Slip into thirds so the patron's last name appears in the top left. 
  • Tape the folded and highlighted Hold Slip onto the I-Share bookwrap just above  “I-Share Loan”.
  • Place a strip of tape at the top of slip and bottom of slip to secure to bookwrap (please use enough tape.)
  • Tape the green ILL Condition Report from the item to the bottom of the I-Share bookwrap, just below the QR codes.
  • Crease and fold bookwrap just above the patron name.

  • Fold the creased edge of the bookwrap over the top of item.  
  • Make a crease at the bottom edge of the item.  
  • Open the cover of the item and fold the remaining part of the bookwrap to the back side of the cover. Tape the wrap together. Use scrap paper if it isn't long enough as is. 

 

NOTES:

  • Most important: You must make sure the correct bookwrap goes on the correct item. Check that the title on the bookwrap matches the title on the item spine/cover.
  • DO NOT put any tape on the actual book. Make sure no tape is hanging over the edge of the bookwrap.
  • Make sure the bookwraps fit snuggly to the book.  
  • You may trim the white bookwrap and fold the condition report if the item is small and the bookwrap too long.
  • If the item is too small or is fragile use a document Preservation binder and attach the bookwrap to it. These binders are in the labeled cabinet in the delivery processing area. 

 

6. Sort I-Share Receives by patron last name, then rubber band any books for the same patron.

7. Place I-Share Receives on the HOLD shelf at the circulation desk. 

  • Shelve with other items already on the HOLD shelf in order by last name.
  • Rubber band recently received I-Share items with other items already on the shelf for the same patron.
