Processing Expired I-Share Hold Returns

When we receive an I-Share item for our patrons, we hold the item for two weeks. If the patron has not picked up the item within those two weeks, we have to return the item to its home institution. 

  • Log into Alma and select the Seymour Library - Seymour Library location.
  • Go to Fulfillment > Resource Requests > Expired Hold Shelf.

  • Once in the Expired Hold Shelf Items page, click the "Send to Institution" tab.

 

  • Note the title and patron name for each item on the list. 

 

  • If you want to print the list, click the export icon in the top right corner. Select the “Excel (current view)” option. This will download a spreadsheet that you can open and print in Excel.

 

  • Retrieve the item(s) from the hold shelf at the circulation desk.
    • If you cannot find the item on the hold shelf, notify your supervisor.
  • Double check that the patron name, title, and barcode of the item you retrieved match the patron name, title, and barcode of the item in Alma’s Expired Hold Shelf list.
  • Write “Expired [today’s date]” on the item’s I-Share bookwrap in the Due Date field. Remove/cut the ILL Condition Report from the book wrap and cut off or peel off any remaining tape. Place the condition report inside the item. Place the bookwrap in the shred box next to the printer.
    • You don’t need to actually inspect the item because it has not left the hold shelf since we received it. 
    • Do not leave any tape on the condition report, even if it peels away part of the condition report. 
  • Click the "Transit" button in the top right of the item record to direct Alma to return the item to its home institution..
  • Note: You do NOT need to additionally Fulfillment > Return the item in Alma, clicking "Transit" for the item is enough.
  • Print the transit slip. Fold the Route Item Slip into quarters, and place the portion of the slip with the three letter ILDS code on the top of the front cover and the remaining portion of the slip may be folded underneath the front cover; Place a rubber band around the item.
  • Place item on shelf with “ILDS Outgoing Delivery Shelf” sign for later sorting into the outgoing delivery.


NOTES: 
Floppy or Fragile items

  • If the item is a floppy, place a piece of cardboard behind the item and rubberband. 
  • Place Fragile items in a box or padded mailer.

Non-Print

  • ILDS has provided blue padded A/V mailers for returning non-print items. These are on top of the cabinet in the delivery processing area. If we do not have any blue mailers, reuse a jiffy envelope or bubble wrap.

Microfilm / Microfiche

  • Microfilm and Microfiche cards must be returned in their box or envelope. 
  • Use a blue A/V mailer, box, or padded mailer. Rubberband the Route Item Slip around blue A/V mailers or tape the slip to the outside of the box or padded mailer.
