Periodicals

Relocating and Withdrawing Older Periodicals

After a certain period of time, older issues of periodicals will either be relocated to the basement or withdrawn from Alma and recycled. This relocating or withdrawing information is in the periodical's holding record and in the Google sheet titled "How Long to Keep Physical Periodicals" in the Seymour Library shared drive. 

 

Issues can be relocated or withdrawn according to the following schedule.

  • For periodicals that will be relocated to the basement, older issues can be moved during Winter Break.
  • For periodicals that we keep according to a yearly basis, older issues can be withdrawn and recycled during Winter Break.
  • For periodicals that we keep according to a monthly basis, including newspapers, older issues can be withdrawn and recycled on the first of each month.

 

For most items that will be relocated to the basement, no Alma processing is needed. The issues that need to be relocated can just be moved. For items that will be moved to the Oversized Periodicals location, they must be moved to the holdings for the Oversized Periodicals.

For items that need to be withdrawn:

  • Log into Alma and select “Seymour Library - HSL Acquisitions Department” location 
  • Do an All titles search for the periodical's title
  • Locate the proper record in the results list
  • Click the three dots to the right of the title, then click "Items"
  • There are two options:
    • If you are just withdrawing one item
      • Click the three dots next to the item
      • Click ”Withdraw” then "Confirm"
    • If you are withdrawing multiple items
      • Check the box next to all of the items you want to withdraw
      • At the top, click ”Manage Selected”
      • Click ”Withdraw Items” then "Confirm"
  • Stamp the item with the red WITHDRAWN stamp
  • Recycle the withdrawn issues
    • Note: Newspapers should be tied in linen string before being placed in recycling
