Inventory for Knox College Libraries

Getting Started

1. Login to your Google account, so that you can contact Gail via Chat in Gmail with questions.

2. Use the Scanning Log document to record your scanning session. 

2. Go to Interactive Inventory website for Knox College: https://alma-inventory-interactive.carli.illinois.edu/org/knx/

a. Set Library Name (i.e. Amott Science Commons, Seymour Library, etc.)

b. Set Location: (i.e. SMC Main, HSL Reference, etc.)

c. Call Number Type: LC

d. Make sure the Bell (Beep) is selected to warn you of errors.

3. Scan the first Barcode. You should see the Call Number and Title of the book you just scanned in the popup screen. Double check with the book to make sure the barcode scanned correctly.

a. Adjust the popup window so that you can see the Call Number of the most recently scanned book, the color of the Call Number can indicate a problem.

1. RED font means the Call Number is out of order.

  • Check the books before and after the book with the RED font to see if it is in the correct location
  • Also double check that the call number on the Spine Label of the book matches what is on the screen. It could have an incorrect spine label.

2. BLUE font means the book is part of a series and can be ignored.

b. Note the color of the Status line.

White: Good! Status: Pass and a Note: Barcode Found

Pink: connection error, you should retry the book.

c. When you have finished your section, Click "Done." (Be sure not to end a session in the middle of a set.)

4. Check for Errors. There are errors that you can fix immediately by logging into Alma.

a. Using an Incognito Window, login to Alma (Student Worker Login) 

b. PULL-DUE: Item is checked out in Alma error, it can be immediately discharged in Alma and placed back on the shelf. Click "refresh" on the line with the book in the Interactive Inventory website. If you dealt with the error code correctly it should disappear.

c. PULL-LOC: Incorrect Location error, means the item does not belong in the collection you are scanning. Have it reshelved in the correct location, or send to Tech Services if you are not sure where it should be shelved.

d. PULL-STAT: Incorrect Status Code. Scan in the book for the library where it is currently located. It may reroute the book for reshelving or the book may need to go to tech services to have its location and/or spine label fixed. Click "refresh" on the line with the book in the Interactive Inventory website. If you dealt with the error code correctly it should disappear.

d. The following codes will need to be sent to Tech Services to be fixed. Label each book to be sent to Tech Services with a sticky note describing the problem or the error code:

META CALL: No Call Number in Alma
NOT FOUND: No Alma data for barcode
PULL-SUPP: Bib marked as suppressed
PULL-HSUPP: Holding marked a suppressed 
PULL-MULT: Multiple Issues

 

5. Before closing out and ending your session, be sure to Click on "End Session - Download CSV file."

a. Upload file to Google Drive: Acq/Cat Student-> Inventory Project -> [library collection] Uploads

b. Go to the Inventory Log and update the last Call Number you scanned to end your session.
